Position Description Reporting to the BIM Team Lead, the Document Controller manages all technical data (models, drawings, RFIs, and records) across MMT’s mass timber workflows. Collaborating closely with internal engineering, fabrication, and external stakeholders, they ensure everyone works from current, traceable information. This is an evolving, highly technical data-control role critical to production execution, not a general administrative position. Responsibilities Administer the full lifecycle of BIM, Engineering, and Fabrication documents, including receipt, logging, distribution, review tracking, revision control, supersession, and archiving. Maintain auditable, controlled document registers and rigorously enforce status workflows such as For Review, Issued for Construction, Approved as Noted, and Superseded. Issue and track formal transmittals to ensure only the most current, approved information is available for project distribution. Manage a structured, traceable change log for RFIs, Site Instructions, Value Engineering, and client changes, linking unique IDs to triggers, impacted scopes, and revision deltas. Compile and maintain comprehensive evidence for change substantiation, including linked source documents, model or drawing deltas, formal communications, and timelines. Coordinate with BIM, Engineering, and Fabrication teams to ensure change records are aligned and traceable, while supporting Project Management with commercial and contractual documentation. Maintain the project Common Data Environment, folder structures, naming conventions, and metadata in alignment with ISO 19650 principles, while flagging gaps and escalating issues. Manage the formal release of BIM and fabrication deliverables, including model exchanges, shop drawings, and fabrication approvals, to ensure exact alignment between models, sheets, and issue records. Provide platform support to users across project systems such as ACC/BIM 360, Procore, and SharePoint, and facilitate project closeout by managing as-builts, final QA/QC deliverables, and template optimization. Qualifications and Experience Minimum 3 years’ experience in document control, project coordination, or BIM support within construction, engineering, or fabrication environments. Diploma or degree in a related field preferred. Strong understanding of document control principles (revision control, registers, transmittals, traceability) and construction documentation workflows (drawings, RFIs, submittals). Proficiency with document management platforms (e.g., SharePoint, ACC/BIM 360, Procore, Aconex or equivalent). Exposure to BIM workflows; Revit familiarity is an asset (not a production modeling role). Familiarity with structured information management (e.g., ISO 19650, CDEs, naming conventions) is an asset. Strong attention to detail, organization, and ability to manage multiple priorities with clear communication. Salary and Benefits The salary for this position is CAD $65,000 – $85,000, commensurate with education and experience.
